Overview of the Role
As a Specialist – Facility Operations, you’ll be responsible for managing day-to-day facility and workplace operations, coordinating with internal stakeholders and service partners, and ensuring workplace services are delivered smoothly and in line with agreed standards.
The role will support vendor management, facility maintenance, supplies and assets, safety and statutory compliance, and facility documentation. The position will act as a key point of contact for facility-related requirements, ensure timely resolution of operational issues, and contribute to improving workplace experience and operational efficiency.
Job Responsibilities
- Manage day-to-day office facilities and workplace operations, ensuring a safe, functional, and well-maintained workplace.
- Coordinate facility maintenance, housekeeping, security, pantry, and other workplace services to ensure smooth operations.
- Coordinate with vendors and service partners to ensure service quality, SLA adherence, timely invoice processing, renewals, and issue resolution.
- Manage office supplies, consumables, assets, and inventory, ensuring availability and proper tracking.
- Support compliance with applicable safety, security, fire, and statutory requirements, including inspections, drills, and closure of observations.
- Act as a point of contact for employees on facility-related requirements and ensure timely resolution of queries and issues.
- Coordinate workplace arrangements for meetings, events, leadership visits, seating changes, and other business requirements.
- Maintain facility contracts, AMC documentation, licenses, certificates, inspection reports, and other relevant records.
- Prepare facility-related MIS and maintain trackers covering vendors, maintenance, inventory, expenses, and compliance.
- Coordinate with HR, Finance, Procurement, IT, Security, and other internal teams on workplace requirements.
- Identify and support improvements in workplace experience, service quality, operational efficiency, and cost effectiveness.
Skills & Qualifications
- Bachelor’s degree in Facilities Management, Administration, Business Management, or a related field.
- 3–5 years of relevant experience in facility management, workplace operations, corporate administration, or a similar function.
- Experience in a corporate / IT environment, preferably supporting employee-focused workplace operations.
- Good coordination, problem-solving, and negotiation skills.
- Strong attention to detail with good documentation and follow-through skills.
- Proficiency in MS Office, particularly Excel, Word, PowerPoint, and Outlook.
- Ability to manage multiple priorities independently and respond effectively to day-to-day operational requirements.
